    An office relocation is rarely just a transport job. Moving desks and monitors is the easy part; the harder part is keeping a business running while its phones, files, servers and staff all change addresses at once.

    Most problems on moving day trace back to decisions made weeks earlier: a vague inventory, an unbooked lift, an IT plan that assumes everything reconnects instantly. Small gaps like these turn a one-day move into a week of lost productivity. Here are nine mistakes that make an office move harder than it needs to be, and what to do instead.

    1. Leaving packing until the last minute

    Rushed packing is where equipment goes missing. Cables end up in the wrong crate, monitors travel unprotected, and files disappear into unlabelled boxes. It also takes longer than expected, because staff do it around their normal workload.

    What to do: Start on archives, store rooms and anything not used weekly at least two weeks out, and set a hard deadline for desks to be cleared, usually the afternoon before the movers arrive.

    2. Not labelling boxes and equipment properly

    “Accounts” written on a lid is not enough. If a crate does not say where it lands in the new premises, someone must make that call while the movers wait.

    Label by destination, not origin. Use a code combining floor, room and workstation, and mark the same codes on a floor plan at the new site. Label all four sides, since stacked boxes hide their tops.

    3. Working without a detailed moving day checklist

    Without a written checklist, moving day runs on memory, and memory is the first thing to fail once trucks are waiting.

    Give your moving day checklist two halves. Before the movers arrive, confirm arrival times, access approvals, the site contact at each end and who holds keys. Before you leave, sweep every drawer, meeting room and storeroom, take meter readings, photograph the space for make-good purposes, and hand back keys and passes.

    4. Treating IT as just another item to carry

    Technology causes most of the downtime after an office relocation. Servers, network hardware and phone systems must be shut down properly and reconnected in the right order, and internet or phone services at new premises can take weeks to provision.

    Order connections early and confirm the activation date in writing. Have IT photograph cabling before disconnection, back up everything the night before, and pack cables with their device. Test the network before staff arrive.

    5. Underestimating how much you actually have

    Offices hold more than anyone remembers: archive boxes, spare monitors, appliances, marketing stock, furniture in a forgotten storeroom. An inaccurate inventory leads to the wrong truck size, too few movers and a second trip that pushes the job into the next day.

    Walk the whole premises and count by category rather than estimating. Decide early what is being moved, stored, sold or disposed of, and book e-waste recycling and secure document destruction separately.

    6. Ignoring building access and restrictions

    Lift bookings, loading dock windows, after-hours access and certificates of currency from your movers are routine requirements in commercial buildings. A move can stall at the door without them.

    Contact building management at both addresses several weeks ahead. Confirm bookings in writing, check permitted moving hours, and ask about truck parking and door widths.

    7. Not telling staff what they are responsible for

    When responsibilities are unclear, some staff pack nothing, others pack equipment IT should have handled, and a few turn up at the old address on moving day.

    Send one written brief covering what each person packs, when desks must be cleared, how personal belongings are handled, and where to report.

    8. Failing to plan for downtime

    Every relocation service involves downtime. The mistake is not planning for it, then discovering mid-move that customers cannot reach anyone.

    Identify the systems your business cannot operate without and schedule around them. Moving at the end of the week or outside trading hours buys a buffer. Notify clients, divert phones, and give staff a realistic date for normal service.

    9. Trying to do it all in-house

    Staff and hire vans look cheaper until you count lost billable hours, damaged furniture and an extra day offline. Dismantling workstations, shifting safes and compactus units and handling sensitive records carry real risk.

    Get quotes from movers with commercial experience and ask how they handle staged moves, secure records and after-hours access. Professional office movers usually shorten the disruption enough to justify the cost.
